Receptionist / General Administration

The Receptionist/General Admin. role is to take care of front office responsibilities, to greet the visitors nicely and guide them as per the requirements, to supply information to parents, staff in general, suppliers etc. The receptionist task must be handled efficiently and effectively to enhance the academic and administrative functions.

Job Details

Front Desk Activities:

  • Answer telephone and direct calls to appropriate party;
  • Take and relay messages;
  • Prepare correspondence and documents;
  • Schedule appointments;
  • Greet all arriving guest and direct to appropriate party;
  • Give information to prospective students and parents;
  • Contact parents in the event that students are not collected on time;
  • Contact parents to arrange collection of students in the event of timetabled events being cancelled;
  • Monitor visitor access and maintain security awareness;

 

Maintain Registers:

  • Maintain late-arrival register and ensure that all late students sign in;
  • Review the daily class registers and ensure that all late students sign in;
  • Review the daily class registers and update where necessary with late arrivals;
  • Ensure knowledge of the staff movements in and out of organization;
  • Print daily fire register.

 

General Administration:

  • Any other duties pertaining to general school administration.
  • Strong interpersonal and communication skills;
  • Flexible; must be able to multitask ;
  • Must be organized with handling documentation;
  • Computer-literate;
  • Quick learner;
  • Bilingual Arabic and English;
  • Understanding about UK National Curriculum highly desirable;
  • Have an understanding of the UK Data Protection Act and its implications on school data;
  • Have an understanding of numerical data and the ability to provide meaningful analysis of results;
  • Show attention to detail, self-motivation and a desire for excellence;
  • Demonstrate strong time management skills and an ability to prioritize workload to meet deadlines;
  • Have the ability to work with limited supervision and utilize initiative;
  • Effective inter-personal skills and excellent written and verbal communication skills;
  • Resilient with drive and a purposeful approach.
  • College or University graduate.
  • Have experience of working with data management and analysis;
  • Experience of working in a school environment;
  • Minimum two years of experience in administration or similar field;
  • Customer interaction in previous employment.
